What the platform does
Six capabilities, one workflow. Built around how conferences are actually run — by academics, alongside a teaching load, with a finance office to satisfy.

Fee categories with sale windows and hard caps. Presenter and non-presenter roles, paper IDs, dietary requirements, certificate and invitation-letter requests — captured once per delegate and reused across events.
Delegates whose universities pay by institutional card get a payment link they can forward to their finance office. The seat is held for seven days, with reminders at three days and one day.
Capture every venue, catering, AV and accommodation invoice with a due date. We pay them from collected funds on the date you set, then upload proof of payment against the invoice.
Three live views — collected, committed and projected. You see gross revenue, Paystack fees, holding fees, supplier costs and operating profit as the event fills, not six weeks after it ends.
Upload your templates once. Attendance certificates and letters of invitation generate per delegate — individually or in bulk — with the delegate’s own details merged in.
How we get paid
We are paid out of the event, after it happens. There is no subscription, no setup cost and no per-seat licence. In exchange we ask you to read two numbers carefully — and we put them in front of you three separate times before any money moves.
Set per event before you publish, and shown to delegates at checkout as a booking fee — the same language Quicket and Webtickets use. It is non-refundable, in every scenario, including cancellation.
Calculated at settlement, after Paystack fees, holding fees and every supplier invoice. If the event does not turn a profit, this fee is zero.
Supplier commitments are yours. If an event under-sells, we do not absorb the shortfall — you settle the balance with your suppliers directly. We would rather you knew that on the home page than in a footnote.

From signup to settlement
The whole lifecycle, start to finish. Most organisers publish their first event the same week they sign up.
Email, password and a six-digit code. Then your registered business name and the terms — including how fees and shortfalls work. We confirm your settlement account with you directly; it is never stored on the platform.
Choose a URL, enable the tabs you need, define fee categories and open registration. Your event lives at colloquium.co.za/your-event.
Delegates register and pay in ZAR through Paystack’s hosted checkout. We never touch card data, and funds land in a segregated platform account on T+1.
Suppliers are paid on the dates you set. After the event you receive a settlement statement listing every line — gross, fees, costs, profit, and what lands in your account.
Payments run through Paystack’s hosted checkout, so raw card data never reaches our servers and the platform stays outside PCI scope.
Every account holds exactly one role. There is no role switching and no account linking — an audit trail that reads cleanly is worth the small inconvenience.
Multi-factor authentication is mandatory for every account on the platform, organiser and delegate alike. It is not an option you can switch off.
